Utilizing Project Sections MasterFormat. It is the document all distributors live and breathe by. But how do you coordinate the output from your estimating and detailing software with the requirements of the Construction Industry? SECTIONS, that’s how. Comsense Inc. gives you the Advantage by allowing you to assign any product to any section on a global or project by project basis. So, if the Access Control falls into 08710 for one project and 13736 for another, you can easily break out your products to agree with the way you must bid, supply and invoice each individual project. Additionally, if the Sections change when MasterFormat 2004 is released, changing the allocation on future projects will be painless. So, how does it work? First, Advantage utilizes the eCatalogs from Comsense Inc. which have product categories already assigned to each product. When combined with the Product Categories in Advantage, the power of Sections is unleashed. You determine the Sections your business requires. Sections are maintained in the Project Sections window found in the Tools menu under System Administration. Next, check the boxes of the sections you will want to have active on a day to day basis. All of the Sections included out of the box by Comsense Inc. will appear on the list. Any unused sections can be removed from the list. Sections that are used on existing jobs cannot be removed, but you can clear the Active status of the section to prevent it from showing up for future projects. When you are happy with the list of Sections, right click and arrange them in the order you want them to appear. The next step is to relate your Product Categories to Sections. The Product Categories window is accessed through the Maintenance menu. This will establish your default Sections for each category of product. You may further refine these defaults by adding exceptions by category and manufacturer in the Discounts window found in the Catalog Maintenance menu. You can also use this window to establish different category/section relations for different divisions within the Company. Each time a project is priced, the Sections will be applied based on the defaults you have established. The Component Pricing and Project Pricing will be sorted into Sections for your convenience when reviewing and applying freight, markup and tax basis. Should you require the Sections on some products to be reassigned, the products are listed in the lower pane of the Sections tab of the Projects window. By changing the Section for a product and running the pricing, the product will be referenced to the new Section. e.Catalog Update by Our Catalog division is very busy updating price lists that invariably come out this time of year and are effective in January. We will be releasing these as they are completed. It may be noteworthy here to be wary of timing when estimating projects and updating inventory costs. I trust that whoever downloads these updates keep their staff well informed as the changes come about. You could be running an estimate one day using 2003 pricing and unknowingly run the final estimate later not realizing you are using 2004 pricing. Be sure to verify the pricebook dates when prompted to use current or previous pricing. For those who control inventory, before you run the pricing inventory procedure, you may want to issue purchase orders for replenishment to reflect 2003 costing. We have procedures built into our updating system to inform us of any large price changes (forcing us to verify the change) or if finishes have been left out. There are times however when we are not 100 percent accurate and we hope users will be quick to notify us of any inaccuracies, whether it be price or any other related product matter. We try to be very quick to make any corrections and have them ready for download.
